Retention and backup can both preserve data, but they solve different operational problems.
Retention is policy-driven
Microsoft Purview retention policies and labels can preserve content for governance, legal, regulatory, or business requirements.
Recovery is workload-specific
Exchange permanently deleted items are retained for 14 days by default and up to 30 days when configured. OneDrive can undo activity within the previous 30 days. SharePoint recycle-bin retention spans 93 days.
Backup creates a deliberate restore workflow
Microsoft distinguishes dedicated backup from native recovery by offering Microsoft 365 Backup as a separate service.
Why the distinction matters
Retention may support governance while backup supports operational recovery. Many organizations need both.
